Office Administrator Job Description (Part Time)

Spirit of Grace, a progressive Lutheran-Catholic church in Beaverton, is looking for an outstanding office administrator to join its team. You will work with the Lutheran pastor, director of Catholic ministries, and volunteers to produce all church communications and support the operations of this engaged and vibrant church.
The position is 20 hours per week at $18/hour. You’ll also be eligible for paid time off and flexible work arrangements.
Required Qualifications
Minimum one year of office administrative experience and a high school diploma or GED
Experience using Google docs and Drive; Zoom; and Microsoft Word, Excel, and Publisher
Production skills in creating e-newsletters and announcements (email, web, and social media)
Excellent oral and written communication skills
Diplomacy and flexibility
Organization and multitasking skills
Ability to set boundaries and protect confidentiality
Superior teamwork and customer service skills
Ability to lift 20 pounds (light office work)
Ability to pass a criminal background check and possess a valid driver’s license
Preferred Qualifications
College education
Strong experience producing e-newsletters, social media, websites, and graphic design
Experience with faith communities and facilitating volunteers
Strong knowledge of IT and technology tools, including MailChimp and Squarespace
Primary Duties and Responsibilities:
Church Communications
Create, format, and update e-newsletters for the congregation (using MailChimp)
Create, format, and print out weekly worship bulletins
Secure copyright permissions for music
Collaborate with church staff through Google Drive and email
Organize Zoom meetings, if needed
Maintain the church website on Squarespace
Maintain church calendar and communicate pertinent dates to the congregation
Maintain church member information using a web-based management program
Create public relations material if needed
Volunteer Facilitation
Coordinate efforts of church volunteers (includes volunteer office staff)
Organize volunteer activities (e.g., prepare and adjust volunteer schedule with volunteer coordinator and help with community celebrations and special projects)
Administrative Support
Support pastoral staff and congregation with administrative needs
Answer phones and correspondence and forward questions to appropriate staff or members
Maintain accurate community records and files
Arrange use of the church building in accordance with direction and policies
Coordinate with building team, onsite preschool and farm stand, and other staff
Ensure office is equipped with equipment and supplies
Coordinate annual inspection of fire extinguishers and visit from the fire marshal
Provide other needed office support
May attend monthly steering team meetings and assist with special events. Additional duties may be assigned as situations dictate. The terms of employment will be reviewed annually. The office administrator is supervised by the Lutheran pastor.
